ARTICLE 5
Nomination and Election of Officers
Section 1. All offices will be voted on bi-yearly. This means that election time will take place once every two years. If at some point you do not wish to hold your position before the two year period is up, everyone on the committee will fill in for that position until the next election time if there is only a few months to go other wise if it is the president that is open than the vice president will fill it. If the position of the treasurer becomes available before the election time, the duties of that person will be done by the president and the vice president. All others will be voted on.
Section 2. Nomination of officers shall be opened at the December meeting by reading of nomination forms by the Corresponding Secretary and closed at the end of the December meeting. Nominations will be taken at the Nov. meeting by-yearly
Section 3. A majority of the votes of the auxiliaries present and voting shall be required to elect.
Section 4. Whenever there are more than two (2) candidates and there is a failure to elect, the candidate receiving the lowest number of votes shall be dropped and successive ballots cast until there is an election for that office.
Section 5. The President shall appoint two (2) judges. After all ballots have been cast the judge shall retire to a private room to count the votes. The judges shall report the count to the convention body. One could be the treasurer if she is not going to run bi-yearly.
Section 6. Any member of an auxiliary which maintains active membership in the Ladies’ Auxiliary shall be entitled to candidacy for office provided they have been on the Auxiliary for one year and are an active member. But must be in attendence This can be done by being nominated by another member or nominating yourself If you are nominated and you do not wish to run for that office please tell us at that time.
Section 7. When you are voted in to the hold an office, you are to do the responsibilities of that position only. If at anytime you have questions ask.
Section 8, The duties of the officers should be read before any voting of officers. So if you choose to run for office than you will know your job duties and what you are expected to do. If you are still not clear on it than ask the past officer.
Section 9. Each person who holds an office will be expected to perform the duties that they are to do. If you are unaware of the job duties you are supposed to be doing, please let the president know, and she will get you the information you need.
Section 10. Each member but the president shall have full voting rights at any general meeting. The president will only vote as a tie breaker if need be, and during election of officers.
Section 11. If at anytime a person feels they can not do there expected job they are to contact the President and provide the Ladies Auxiliary of a written statement that they will no longer hold there Officers position.
ARTICLE 6
Officers
Section 1. The elected officers of the Auxiliary shall be President, Vice President, Recording Secretary, Treasurer, Public Relations
Section 2. All offices will be held for a period of 2 (two) years. The election of 5 (five) executive members shall be held at the December Meeting every other year.
Section 3. No two members of the same family can sign the checks. In the event that this happens than the vice president will assume the responsibility for the president. If the vice president is in the same family than go to the next officer.
Section 4. No individual shall give away free gifts purchased with Auxiliary funds.
Section 5, No individual accounts of any type are to be opened up by any one person.
CONSTITUTION AND BYLAWS
OF THE LADIES’ AUXILIARY
OF THE
Three Rivers Fire District
We, the members of the Ladies’ Auxiliary of the Three Rivers Fire District, now unite as a body to promote interest, establish harmony, and cultivate a closer friendship, both social and material, among the auxiliaries to the volunteer fire department Of Three Rivers Fire District, and assist the Fire Department upon request, and do hereby adopt the following Constitution and Bylaws:
Ladies Auxiliary is classed as a non-profit organization. All members are volunteers with the purpose being to raise funds and financially assist the Three Rivers Fire District wherever possible.
ARTICLE 1
Name and Membership
Section 1, The name of this organization shall be the Ladies’ Auxiliary of the Three Rivers Fire District (hereinafter referred to as the Ladies Auxiliary).
Section 2, In order to apply for membership you must be 18 years or older. You do not have to live within the District. You will need to come to 2 meetings. The first meeting to be recognized and the second to be voted on.
Section 3, The fiscal year shall be January 1 – December 31.
Section 4, Members Needed – Contact Public Relations. We are proud of our success over the years and plan to continue and grow stronger every year are always foremost in our minds. Why not come visit us, you may want to join.
Section 5, Active members are required to participate in the following Ladies Auxiliary activities: Monthly meetings & Fund Raisers - All TRFD Ladies Auxiliary officers & members are required to have a 50% attendance and Fundraisers record throughout the upcoming year scheduled monthly meetings.
Any Officers who does not attend a minimum 50% of the meetings and Fundraisers will be under attendance review by the members only. And a majority vote of members will determine weather that member is to be dismissed as a member of the Ladies Auxiliary. No Officer will be able to vote on a attendance issue of a officer.

Section 6, Membership in the Ladies Auxiliary shall be composed of all persons who agree to abide by and comply with the Constitution, rules and regulations of the Three Rivers Fire District and the Ladies Auxiliary.
Section 7, After you have been a member for 15 Years or longer you will be considered a life member of The Three Rivers Fire District Ladies Auxiliary.
Section 8. If any one person continuously causes problems with the fire fighters or aux members they can and will be let go from the Ladies Auxiliary. After a meeting with the fire chief and asstiant chief
ARTICLE 2
Dues and Other Monies
Section 1. No dues shall be collected from any member of the Ladies Auxiliary for membership.
Section 2. All monies due to the Auxiliary must be turned in to the Treasurer.
Section 3, Donations Graciously Accepted – Contact Treasurer
Section 4. Any money that is going to be spent out of the auxiliary account will need to be voted on by all members present at the time of the money needing to be spent.
ARTICLE 3
Meetings
Section 1. The President may call a special, emergency or general meeting of the TRFD Ladies Auxiliary at any time. A minimum of 48 (forty-eight) hours notice must be given except for emergency meetings.
Section 2, Monthly meetings are to be held at the Three Rivers Fire District South Station 714 Cedar St. on the 3rd Wednesday of each month at 6:30 pm.
Section 3, Any member who has a conflict of interest with anyone else on the Auxiliary will need to report their problem or problems to the President or Vice President. If that person does not feel comfortable doing so you may report their issues to the Fire Chief. If this happens to be a personal issue it will need to be left outside of the meeting. When meetings are being conducted, they will need to work in an orderly fashion.
Section 4. All persons on the committee will be expected to be available for all fundraisers, and special details. If there are plans made prior to any activity, that person will be excused from that special detail.
Section 5, Children are more than welcome at the meetings, How ever on Fund Raisers it will be difficult for us to watch after them so it may be a good idea not to bring them or at least have someone that can be there to watch them. (As for the Rough Truck there will not be anyone under the age of 16 permitted inside of building. Those 16 and older if they are in there they will be expected to be working, not just hanging out) this does not apply to the juniors. They are to come in the building to order food at rough truck must go threw the line and pay
Section 6. Special meetings shall be called by the President at the written request of three (3) active member auxiliaries.
ARTICLE 4
Parliamentary Procedure
Section 1. Roberts’ Rules of Order, Revised, are the basis of this Constitution and Bylaws and shall govern on any question not specifically covered by this Constitution and Bylaws.
Section 2. All Past Presidents shall be entitled to participate in the proceedings of all meetings.
Section 3. Delegates answer to all roll calls.
Section 4.The Ladies Auxiliary has absolutely no say or control over the way the Fire Department is run and operated. So if you hear something about the department or a fire fighter than you need not to repeat it or call the chief or assistant chief don’t call another Aux. member or fire fighter. That is not something we need or will be involved in. This needs to be left out of our meetings
Section 5. The order of business shall be:

ONLY ONE PERSON IS TO HAVE THE FLOOR AT A TIME. WHEN THAT PERSON IS DONE ANYONE MAY COMMENT (ONE AT A TIME). Then move on to the next order of business
Section 6: ANNUAL MEETING - The Annual Meeting of the TRFD Ladies Auxiliary shall be held during the month of December each year. All officers must bring all papers to be presented to whom ever takes over the Officers position for future reference.
Order of business for the Annual Meeting will be:
1) President's welcome and address (summary of the year)
2) Secretary's Report: last executive meeting
3) Treasurer's Report: treasurer's report for the year
4) Elections of New Officers
5) General business
6) Handing over all records to new Officers
7) President's remarks
